Athletics Travel Policy for Trustees and Senior Administrators

Indiana University Travel Policy for University Trustees and Senior Administrative Leadership

WHEREAS the Trustees of Indiana University have fiduciary obligations to oversee the athletics departments of all IU campuses;

WHEREAS the Trustees rely on the expertise and recommendations of the senior administrative leaders of the University in making decisions about personnel, funding, oversight, and other important issues related to athletics;

WHEREAS the acceptance of travel opportunities may impede truly independent decisions or advice about athletics, or at the least may appear to create a conflict of interest;

The Trustees hereby adopt the following continuing resolution to remain in effect until affirmatively revoked by the Trustees:

Indiana University Trustees and their guests may only travel with any IU Athletics’ team if they have a specific, legitimate business purpose for the trip and such business purpose is approved by the Chair of the Board in consultation with the President.

Senior University Administrative leaders and their guests may only travel with any IU Athletics’ team if they have a specific, legitimate business purpose for the trip and such business purpose is approved by the President.

In these situations, the business purpose and approval must be documented and written approval must be obtained prior to the trip. Unless a University Trustee or Senior Administrative leader receives the approval described above, expenses for tickets, transportation, accommodations, and meals related to Trustees’ or Senior Administrators’ attendance at sporting events may not be reimbursed and per diem or honoraria may not be paid.

In the case of travel and/or tickets to a bowl game or a Final Four basketball event, the University may send an official University travel party to support the athletic team. The official travel party for such an event may include University Trustees and/or Senior Administrative leaders. Trustees’ inclusion in the official travel party for such events must be approved by the Chair of the Board in consultation with the President, and Senior Administrative leaders’ inclusion for such events must be approved by the President.
